Role Summary
The Sr. Leadership Administrative Partner will be responsible for providing administrative support to the Chief Communications Officer. More than that, the Sr. Leadership Administrative Partner will become the right hand of the Executive, working closely to ensure maximum efficiency in a fast-moving environment.
\nThis position will be responsible for performing several administrative duties including, but not limited to, organizing and coordinating schedules, meetings, travel, expenses, external meetings, speaking engagements, etc. The Sr. Leadership Administrative Partner will possess excellent written and verbal communication skills, be an expert collaborator, exercise mature and professional judgment, the ability to operate at a senior level with confidentiality and discretion, experience working with senior executive management and have outstanding time management skills. This position will require close collaboration with the org’s Chief of Staff with a focus on productivity and may require work outside of normal business hours.

Responsibilities

- Assisting with onboarding for new employees (scheduling introductions, supporting week 1 agendas, ensuring supplies, IT equipment, and badges are set up, etc.) \n
- Leading a high volume and complex calendar \n
- Coordinate the CCO’s participation in high-level external initiatives and meetings, including liaising with external high-level offices, preparing and organizing briefing materials, and anticipating needs of the CCO before, during and after these engagements. \n
- Support the department leadership team’s calendar needs \n

- Maintains strict level of complete confidentiality with a high volume of confidential information \n
- Organizes and maintains file systems, correspondence, contacts, and other records \n
- Handles internal/external correspondence. \n
- Support the department leadership team and Chief of Staff in organizing and preparing agendas and materials
- \n
- Taking notes with distilling insights/take aways and some filtering in mind \n
- Travel - book travel (airfare, hotel, car rental, train), both domestic and international \n
- Expenses - enter and own all expense reporting on behalf of the CCO \n
- Requisitions within Coupa - support the department leadership team and Chief of Staff with all purchasing and invoicing needs \n
Qualifications

- Bachelor’s degree or equivalent experience required \n
- 6+ years of experience in an administrative role preferably in the tech industry and supporting senior leaders in the sustainability space \n
- Advanced Microsoft Office skills with an ability to become familiar with Company and/or task specific programs and software; \n
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities; \n
- Highly organized and able to prioritize under pressure; \n
- Positive attitude and strong business acumen; \n
- Ability to multi-task in a fast-paced environment and anticipate last minute changes; \n
- Team player; \n
- Ability to familiarize yourself with content, people and processes, for quick recall and recommendations \n
Pay Disclosure
Salary range for New York City/Palo Alto, CA: $104,000-$120,000 (actual compensation will be determined based on experience, location, and other factors permitted by law)

Salary range for Irvine, CA/New Jersey $96,000-$111,000 (actual compensation will be determined based on experience, location, and other factors permitted by law)
\n\n
Benefits Summary: Rivian provides robust medical/Rx, dental and vision insurance packages for full-time employees, their spouse or domestic partner, and children up to age 26. Coverage is effective on the first day of employment, and Rivian covers most of the premiums.
