Role Summary
As the Coordinator, Maintenance, Commercial Facilities, you will be responsible for managing day-to-day operational activities to keep Rivian’s commercial facilities safe, efficient, and maintained to the highest standards. In this role, you will oversee daily maintenance tasks, vendor performance, warranty work, escalations (including after-hours coverage), while supporting end-user needs and driving operational excellence. You will handle work orders from intake to resolution, stay in close communication with site teams, and ensure the highest level of customer service and support. Additionally, you will help deliver large-scale programs and cross-functional projects to maintain a world class environment for employees and guests.
Responsibilities
- Driving and monitoring vendor performance to maintain Rivian standards, reviewing proposals and invoices, and ensuring scope of work are accurately captured.
- Communicating status updates, maintaining accurate records and official documentation and tracking/reporting key performance indicators for Quarterly Business Reviews (QBRs) to ensure operational efficiency.
- Identifying and escalating reoccurring issues while providing feedback for programmatic improvements.
- Managing and supporting after-hours escalations and weekend emergencies on a rotational basis.
- Tracking, managing, and analyzing purchase requisitions and operating expenses, and identifying any inconsistencies to ensure accuracy.
- Partnering with internal and external partners to ensure warranty and landlord-related work orders are completed within a timely manner.
- Maintaining strong relationships with internal teams and external partners to support a seamless operational environment.
- In partnership with the Strategic Operations team, implementing programs and procedures to ensure facilities and properties are operating at their best, exceeding expectations by responding to all service and repair work orders and providing corrective action as needed.
- Review and understand lease-related documentation; manage requests and relationships with landlords/property managers, escalating to Lease Administration/Real Estate as needed.
- Performing ad hoc facilities management projects as identified by the Operations Manager, including new site openings and project requests.
Qualifications
- 2-3 years of experience in facilities maintenance, operations, or customer-facing role. Preferably in a commercial or corporate setting.
- Strong organizational skills, attention to detail, and accuracy; a self-starter who communicates clearly and can adapt to rapidly changing priorities.
- Ability to work independently, escalate issues appropriately, and communicate quickly and effectively.
- Working knowledge of plumbing, electrical, HVAC, and interior/exterior repairs and services.
- Proven ability to manage and maintain third party vendor relationships.
- Commitment to safety, operational excellence, and delivering exceptional customer service in a fast-paced, dynamic environment.
- Experience reviewing lease documents and working closely with landlords/property managers is a plus
- Knowledge of CMMS software and the ability to quickly learn new systems (e.g., PO management, design & construction tools).
- Proficiency with Google Suite tools.
- Willingness and ability to travel as needed to support business needs.
Pay Disclosure
Salary Range for Irvine, CA & El Segundo, CA based applicants: $77,800 - $97,300. Actual compensation will be determined based on experience, location and other factors permitted by law).

Full Time Employee coverage is effective on the first day of employment. Part-Time employee coverage is effective the first of the month following 90 days of employment.
